OPENING MORE THAN ONE DOCUMENT

If you select FILE/OPEN you will see the OPEN FILE Window. It is normal to select the file you wish to work with and either press the OPEN BUTTON or double-click on the filename. To open more than one file at a time :-

1. Select FILE from the menu bar

2. Select OPEN from the menu drop down list

3. Find the folder containing the files

4. Click on the first file you wish to open – the filename will be highlighted

5. Hold down the [CTRL] key and click on further files as required – they too will highlight

6. Click the OPEN BUTTON and all the files will open one after another

OPEN DOCUMENTS MORE QUICKLY

To open the file OPEN WINDOW rather than using the FILE menu option :-

1. Press [CTRL][O] and the OPEN WINDOW will appear

PREVIOUSLY EDITED DOCUMENTS

You can see a list of some of your recently edited documents by:-

1. Select FILE from the MENU BAR

At the bottom of the menu list you will see a list of file names numbered 1. onwards. These are your most recently edited documents, the latest first.

The default settings will show the last 4 documents. This can be increased :-

1. Select TOOLS from the MENU BAR

2. Select OPTIONS from the menu list

Click the GENERAL tab and you will see an option headed RECENTLY USED FILE LIST. The number of files alongside can be increased up to 9

REGULAR FILES

If you regularly use certain files you can add them to the Office Toolbar :-

1. Right click on the Office Toolbar

2. Select CUSTOMIZE

 3. Click the BUTTONS tab

4. Click ADD FILE and select document filename

5. Click OK

REGULAR FILES – A better way

There is an even better way to keep a list of regularly used files readily available. Unlike the file list shown by the FILE menu which show the most recently edited files this list will only show those files you wish irrespective of how long ago the file was edited :-

1. Select TOOLS from the MENU BAR

2. Select CUSTOMIZE

 3. Select the COMMANDS tab

4. Select BUILT-IN MENUS from the CATEGORIES list

5. Click and drag WORK to your MENU BAR

Now when you click on the WORK MENU you will get a list of those files you have added to this WORK list. You add the files by first opening the document and then :-

1. Select WORK from the MENU BAR

2. Click on ADD TO WORK MENU and that document will be added

Deleting an item from the WORK list is poorly documented. What you do is this :-

1. Press [CTRL][ALT][-] whilst any document is open and you will find you cursor changes to a large minus sign

2. Now select WORK from the MENU BAR

Click on the file you want to remove from the WORK list and it will disappear

SHOW THE FILE PATH OF THE DOCUMENT BEING WORKED ON

It can prove extremely useful to know the full file path of the document you are working on. This uses a function which most people would not find easily to put the file details on your menu bar :-

1. Select TOOLS from the menu bar

2. Select CUSTOMIZE from the menu list

3. Click on the COMMANDS tab

4. Click on the WEB option on CATEGORIES list

5. Under the COMMANDS list click and drag the ADDRESS command up onto the menu bar

The address of the current document will then be shown on the menu bar. The drop-down list also shows a lit of recently visited web-sites, which is what this function was really designed for.

TO MOVE BETWEEN OPEN DOCUMENTS

You can have more than one document open at any one time. To move between documents:-

1. Select WINDOW and at the bottom of the menu you will see a list of the documents open

2. Click on the document required

TO MOVE BETWEEN OPEN DOCUMENTS QUICKLY

You can have more than one document open at any one time. To move between documents:-

1. Press [CTRL][F6] to cycle through open documents.

TO MOVE THROUGH A DOCUMENT

You can move through a document in a variety of ways. One of these is to :-

1. Use the select BROWSE OBJECT button (this is the little known button at the bottom of the right-hand scroll bar)

2. Choose the type of object you wish to look for

3. Click on the PREVIOUS and NEXT buttons to navigate

You can use the BROWSE OBJECT button for a number of different searches

USE BOOKMARKS

You can set a bookmark anywhere in a document :-

1. Select INSERT from the menu bar

2. Select BOOKMARK … from the menu list

3. Give the bookmark a name and add it to the list

This has inserted a named bookmark at the insertion point in the document

FIND BOOKMARKS

You can find a bookmark anywhere in a document as follows :-

1. Select EDIT from the menu bar

2. Select FIND from the menu list

3. Click on the GO TO tab

4. Select BOOKMARK from the FIND WHAT list

5. Type in the bookmark name and click GO TO

Alternatively :-

1. Press [F5] to open the FIND window and continue from 3. above

FIND LAST EDIT

If you need to find the last place edited in the current document :-

1. Press [SHIFT][F5]
